Privacy Policy

Green Room Ohio collects only what it needs to run a community hub for theater people, never sells your information, and lets you change your email choices at any time. Effective date: October 11, 2026.

Who we are

Green Room Ohio is an independent online hub for community theaters and the people who make them work in North Central Ohio, starting with Crawford County and its neighbors. It isn't run by any one theater. Abigail Kanellakis operates the site, and "we," "us," and "our" in this policy mean that operator.

This policy covers greenroomohio.com and the emails we send. Our website runs on Wix, so some of what's described here happens through Wix's tools.

Information we collect

We collect what you give us, what you post, and a small amount of technical data that every website gathers.

When you apply for membership

  • Your first and last name, email address, and display name.

  • Your theater or organization, if you have one.

  • Why you want to join and the expertise you bring.

  • Whether you checked the box to receive community digests and news, and the date you did.

You create a password, but we never see it. Wix stores and protects it for us.

When you take part

  • Discussion posts and replies, plus the upvotes and "best answer" picks you give.

  • Resources you share: files, links, preview images, descriptions, and credits.

  • How often a shared file is downloaded, or a shared link is opened (a count, not who did it).

When you submit an event

  • Event details such as the title, dates, venue, county, and description.

  • An organizer contact name and email. Because people need a way to ask about auditions or tickets, the contact email you enter on an event is shown publicly with that event. Use an organization address if you'd rather not list a personal one.

The event form uses Google reCAPTCHA to keep out spam bots. reCAPTCHA collects hardware and software information and sends it to Google, under Google's Privacy Policy and Terms of Service.

Automatically

Like most websites, ours uses cookies and similar tools to keep you logged in, remember settings, and show us basic visitor statistics such as page views. Wix sets most of these cookies. You can learn more in Wix's cookie guide and control cookies in your browser settings.

How we use it

We use your information to run the community, and that's it.

  • Review membership applications and decide who gets approved.

  • Show your posts, replies, and shared resources under your display name.

  • Let approved members download shared files.

  • Publish approved events on the events calendar.

  • Send the emails described below.

  • Keep the site safe, which includes blocking spam and hiding content that breaks our Community Guidelines.

  • Understand which pages and resources people find useful, so we can make the site better.

At this time, we don't use your information for advertising, and we don't build profiles of you to sell anything.

What's public and what stays private

Your display name and the things you post are public. Your contact details and application answers are not.

Emails

We send two kinds of email, and only one of them needs your permission.

Account emails go to every member because they're part of using the site. These include confirming we received your application, letting you know you're approved, password resets, and activity summaries about discussions you started or replied to. Activity summaries arrive on a schedule, not every time someone posts, and you can turn them off.

Digests and news go only to people who opt in. That means checking "Keep me in the loop!" when you apply, or turning it on later from your Email Preferences page. Digests round up new discussions, resources, and upcoming events, weekly or monthly. News covers occasional announcements from Green Room Ohio. The box is never checked for you.

Every digest and news email includes a link to unsubscribe or manage your preferences, and we honor those requests promptly, within 10 business days at most. Our mailing address appears at the bottom of each of those emails: 3010 Oak Drive, Bucyrus, OH 44820.

Wix sends our emails, which means Wix may record whether an email was delivered or opened so we can see how the emails perform.

Who we share it with

We do not sell, rent, or trade your personal information. We share it only in these situations:

  • Service providers that run the site. Wix hosts the website, stores member data, and sends our emails (Wix's Privacy Policy). Google provides reCAPTCHA and the events calendar feed. They handle data on our behalf under their own privacy terms.

  • When the law requires it. We'll share information if a valid legal request, such as a subpoena or court order, requires it, or if it's needed to protect someone's safety.

  • If the site changes hands. If Green Room Ohio is ever transferred to a nonprofit or another organization, member information would go with it, and this policy would continue to apply until you're told otherwise.

We never hand member emails to theaters, sponsors, or advertisers.

Your choices

You stay in charge of your information.

  • Change your display name or email settings anytime from your Email Preferences page.

  • Delete your own content. You can delete resources you shared and posts you wrote.

  • Ask for a copy, a correction, or deletion of your information by emailing abbey.kanellakis@gmail.com. We'll respond within 30 days. If you ask us to delete your account, we'll remove your profile and contact details. Posts and replies you leave behind may stay up with the author shown as "Former member," so discussions still make sense, unless you ask us to remove them too.

How long we keep it

We keep your information while you're a member and for up to 12 months after you leave or ask us to delete it, so we can handle any follow-up. Declined applications are deleted within 90 days. Past events stay on the calendar as a record of the region's theater history.

Security

Wix protects the site with encrypted connections (HTTPS) and secure data storage, and only the site administrator can see private member details. No website is perfectly secure, so please use a strong password you don't use anywhere else.

Children

Anyone, including young performers and their families, can browse events, auditions, discussions, and the resource library without an account. Membership is limited to people 16 and older, and applicants confirm their age when they apply. We don't knowingly collect personal information from anyone under 16. If we learn that we have, we'll delete it and close the account. Parents are welcome to join and ask questions or download resources on their child's behalf.

Because many shows include young performers, our Community Guidelines ask members not to post names or photos of anyone under 18 without a parent's or guardian's permission.

Changes to this policy

If we change this policy, we'll update the effective date at the top. If the change is significant, such as a new way we use your information, we'll tell members by email or with a notice on the site before it takes effect.
